Course Data Stage 2 St Marys University College: Moving to a single authoritative source of data to provide XCRI-CAP 1.2 feeds

Summary

The University College wishes to move to more cost efficient and effective ways to publish its course information that is both sustainable and supported by technology.   It also needs to ensure that such data are comparable to that of other institutions and can be consumed by external websites. Also it needs to replace manual sourcing of information to have an integrated data collection at the point of course approval.   It aims to do this by co-ordinating both process and technological change to ensure the provision of good quality course information is embedded in the University College procedures. 

The project supports the Corporate Plan through delivering the following strategic objectives:

  • to ensure full use of technology to achieve efficiency in processes
  • to continue to provide relevant and innovative services and learning resources that support academic achievement and enhance the student experience

The overall aim of the project will be to move to a single authoritative source of data that is electronic and can produce an XCRI-CAP 1.2 feed and other internal and external data as required.  The aims have been conceptualised in the diagrams attached at Appendix C which demonstrates the current situation and Appendix D which shows where we aim to move to at the end of the project. 

To achieve this the overall aims of the project are to:

  • review the collection of course data to ensure that they are comprehensive and more efficient
  • review the storage of data to ensure a single authoritative source of data
  • implement a course management system to store the data
  • use the course management system to produce external data feeds based on the XCRI-CAP standards and also for its internal student records system, virtual learning environment and other technology as appropriate.

Objectives

The objectives to support this transformational change are as follows:

  • implement single authoritative database capable of storing all course data requirements and to provide automated feeds for marketing and other purposes in required formats
  • improve efficiency and reduce the administrative burden of collecting and rekeying course data
  • use enterprise architecture or similar methodology to review the course approval process to ensure it is fit for purpose and that technology is integrated into the system
  • disseminating the work done to the sector, particularly smaller and other GuildHE institutions who may benefit from learning about our approach.

Anticipated Outputs and Outcomes

  • XCRI-CAP 1.2 feeds for courses
  • A more efficient and effective course approval process which collects the required data at the outset to provide a single authoritative course for all internal and external course requirements
  • More standardised, and therefore comparable, course information in a consistent location making discovery easier, particularly for part-time, distance learning and hard to find courses
  • Better quality of marketing information as it is being taken through an objective validation process
  • More knowledge by the suppliers of the data requirements for XCRI-CAP, SLC and KIS for institutions that can be shared across the sector.
