Brief Description
A superb opportunity has arisen at the Met Office for a professional and talented Executive Assistant to support the Chief Executive and Business Development Director for a 14 month contract initially. (Internal: For a 14 month secondment initially)
You will play a critical role managing the schedules and associated information of the Chief Executive and Business Development Director to ensure their time is spent efficiently and effectively in delivery of Met Office objectives.
You will work as part of a team of Executive Assistants providing support to other Met Office Directors and your colleagues as necessary.

Vacancy description
Manage mailboxes and calendars, prioritising e-mail and appointments, responding to and forwarding emails as appropriate to ensure Directors’ time is spent efficiently and effectively
Act as first point of contact for key customers and stakeholders, handle telephone enquiries and correspondence to ensure contacts and requests are dealt with promptly and appropriately
Liaise across the organisation to ensure Directors have appropriate documentation and briefings in good time to ensure they are well prepared their meetings and engagements
Organise and co-ordinate travel and accommodation for UK and overseas to ensure efficient use of Directors’ time and to deliver value for money
Provide a typing and proof-reading service and prepare clear and precise correspondence to ensure quality of output and to protect the Met Office brand
Maintain and use office systems, including data management, filing, and e-procurement to maintain appropriate records and to ensure financial integrity
Skills
Proven Executive Assistant experience working with Senior Directors and stakeholders
Excellent communication skills
Proven ability to work with absolute confidentiality and discretion
Proven ability to work proactively on own initiative and to tight deadlines
Excellent team working skills
Proven ability in managing complex diaries and coordinating UK and international travel
Proficient Secretarial and IT skills, notably in MS Word, Excel, Powerpoint and Outlook
