You should keep accurate records of all stakeholder engagement undertaken throughout the consultation process. This means making a note of all meetings and recording the names and views of all representatives present as well as actions to be taken.
It is vital that you then make a comprehensive record of all responses for all informal and formal consultation carried out.
For informal consultation exercises you should ensure that someone from your team is there to accurately record details of participants present as well as their views and ideas. This should be someone other than the person facilitating the meeting, focus group or conference.
Written consultation responses should be carefully documented. It is useful to set up a 'Response Analysis Grid'. As you receive each response, enter the names of respondents; the organisation represented; the method of response; and a summary of their comments for each of the questions asked in the consultation document. You may also find it useful to sort respondents into different types of stakeholder groups: for example, businesses, voluntary services, single issue groups etc. This makes it easier to chart the progress of your consultation and to compare responses once the consultation is closed.
